This will be a hybrid role based out of the Banfield Pet Hospital headquarters in Vancouver, WA.

Salary Range: $36.07 - $49.60/hour (DOE)

Summary and Qualifications:

Provides support to attorneys in carrying out the legal function of the business.

Under the supervision and direction of an attorney, resolves routine legal issues and assists with employment law disputes, litigation, compliance matters related to business operations, and administrative support as needed.

Essential Responsibilities and Tasks:

  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Act as point of contact for legal support requests sent to Legal from the field and Central Team Support (CTS) stakeholders.
  • Research and analyze legal sources, including but not limited to statutes, recorded judicial decisions, legal articles, treatises, constitutions and legal codes.
  • Prepare and organize legal documents for litigation and transactional matters, including drafting responses to administrative agencies such as EEOC, position statements, and correspondence.  Conduct internal investigations related to employment administrative charges.
  • Monitor and track deadlines in litigation and transactional matters, with primary focus on employment matters.
  • Schedule and prepare materials for and record minutes of quarterly board of director and annual shareholder meetings for five A Caring Doctor entities. Partner with attorney and other stakeholders to draft meeting materials. Work with outside counsel to coordinate paperwork for adding new members and track changes to membership in Banfield systems.
  • Assist with setting up and managing data rooms. Provide updates on pending items and new requests. Communicate updates to relevant stakeholders in a timely manner.
  • Maintain electronic files, including scanning and saving documents in organized files.
  • Effectively communicate and interact, verbally and in writing, with various internal and external stakeholders.
  • Serve as primary point of contact, document input coordinator and technical expert for electronic corporate entity management system.
  • Act as primary contact for legal holds and electronic discovery. Coordinate legal holds with Mars and Banfield IT, document process and collaborate on continuous improvements, maintain comprehensive legal hold list and regularly provide list to Banfield IT for audit purposes.
  • Review legal documents (such as subpoenas, garnishment orders and bankruptcy filings), verify case status with relevant court or agency (as needed), and route to appropriate Banfield department for handling.
  • Manage calendar and recurring tasks for Legal and monitor deadlines.
  • Follow Mars process for setting up law firms as vendors, track legal spend and coordinate timely payment of invoices with Banfield accounting team.
  • Organize requests from P&O stakeholders for legal assistance, answer routine questions and escalate requests to attorney as needed.
  • Attend administrative team meetings and manage executive scheduling.
  • Other job duties as assigned.

Special Working Conditions:

  • Ability to work at a computer for long periods of time. 
  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.

Experience, Education and/or Training:

  • Bachelor’s degree in Legal Studies or a related field, or the equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.
  • Paralegal certification is preferred.
  • Five years of paralegal support experience are required.
  • Five years of paralegal experience in a corporate department of law firm or in-house environment with a focus in employment litigation or transactional, are required.
  • Paralegal certification is preferred.
  • Notary is preferred.
